Having help is key! Below are ways to define roles. You can always combine roles depending on the number of people helping you.
Marketing & Communication
- Create language and images for your registration or fundraising pages and for others so they can share your event
- Spread the word about your event and encourage people to join
- Post on Social Media
- Create Facebook Event Page
- Send emails
- Hang and distribute flyers
Advocacy & Awareness
- Figure out what you want participants to KNOW, to FEEL and to DO at your event and how you’ll accomplish this.
- Do you want to gather signatures or have participants sign a pledge of support?
- Do you want to have stations where you educate participants on a certain topic?
- Do you want to give a speech where you’ll tell a story about why this event is important? Here’s a link to help with this!
Design
- Create Event Poster or Flyer
- T-shirt Design & Ordering
- Design and create a registration and fundraising page
- Create informational posters for the event
Logistics
- Gather all necessary materials or equipment (check out our Day-Of Event Checklist)
- Secure necessary permits
- Secure event location
- Make a safety plan. Here’s a list to get started.
- Create directional signs
- Create a parking plan
- Brackets (if needed)
- Bathrooms
- Set Up
- Break Down, Clean Up & Trash
Sponsorship & Budget
- Figure out if you have costs and how you’ll pay for these
- Create a budget

- Ask Positive Tracks about applying for a microgrant if you need help getting your event off the ground.
Day Of Event Team
- Music
- Registration & Check In
- Donation Organization (if you’re fundraising)
- Delivery of event materials and equipment

- Secure and organize plan for set up food and water
- Ask local restaurants to donate and organize delivery
Follow Up & Thank Yous
