ALWAYS call 911 if you are unsure about what to do.

 

BEFORE THE EVENT

  1. Cell Phones: All primary volunteers and organizers should share cell phone numbers prior to the event’s start. Create a group text before the event begins so you can get in touch with each other quickly. If there is no cell phone coverage, make a plan for calling 911 or finding help in an emergency.
  2. Address: Make sure you know the address of your location before the event begins.
  3. Waiver: Have each participant fill out Waiver and Release of Liability form before the event begins. Here’s a sample.
  4. Food: If you provide food, NO NUTS, including energy bars with nuts in them.
  5. Alcohol: No alcohol is permitted – either provided by you or brought by others.

CALLING OFF THE EVENT

If there is a chance of the following, you should reschedule:

  • Lightning
  • Flooding
  • Extreme Heat (above 90 degrees with 50% humidity)

BRING TO THE EVENT

  • Water: encourage people to bring their own, but always bring extra; at least 1 liter per participant or 1½ liters on a hot day
  • Directional signage in multiple locations so everyone knows where to go
  • First aid kits:
    • Band Aids of all sizes
    • Second skin (blister stuff)
    • Do not include medications of any kind

WHAT TO DO IN CASE OF INJURY

If there is an injury or accident, fill out the incident form (provided by Positive Tracks) and send it to us within 24 hours of the event.
